Rooms and room booking

Staff at AAU CPH can book rooms through the calendar in Outlook or through Webbook.
Students must book rooms through their study secretary. 
Basically the rooms at AAU CPH can be divided info the following types of room:

Please be aware that rooms for events and conferences with more than 50 participants have to be booked through Campus Services CPH by completing Bookning and Information Form for Events at AAU CPH

Meeting rooms and video conference rooms

Meeting rooms and video conference rooms can be booked via Outlook.

This is done as follows:

Please also refer to the special rules which apply when using room 4.06, the “fireplace room", in Building B, 4th floor. You can find the rules here.

 
PRICE

Use of meeting rooms at AAU CPH for educational and research purposes is free for AAU staff. However, fees will be charged for security guards if the meeting rooms are to be used for events with more than 50 participants, events attended by external participants, and events which take place after 17:00 on weekdays or at any time of day on Saturdays or Sundays. Fees may also be charged for additional services such as IT support, setting up of tables and extra cleaning. Read more about fees here.

Seminar rooms

To book a seminar room, log on to Webbook. Be aware that in many cases rental will be charged for the booking of seminar rooms.

Important information, Seminar room ACM15 (A) 1.001 (Formerly called guest canteen) now called "Konferencesalen"

THIS IS DONE AS FOLLOWS:

  • Click here to access Webbook 
  • Enter the specified username and password and click "Login"
  • Click on "Daily schedule" (Dagsoversigt) or "Weekly schedule" (Ugeoversigt) to get an overview of the size of the room, its location and whether or not it is available to book
  • Once you have found an available room that you wish to book, click on "create email enquiry” (opret e-mail forespørgsel) and fill out the form
  • The room is only booked once you have received a confirmation e-mail from tCampus Service,


PRICE

Seminar rooms are shared by all and rental is charged for the use of the slots which are booked in Webbook. Rent is per faculty and per area.

Canteens

You have the possibility of booking AAU CPH's  canteens for special occasions (e.g. Open Day, large conferences and meetings, etc.):

  • The canteen, building A (A.C. Meyers Vænge 15) (capacity: 400 people)
  • The canteen, building B (Frederikskaj 12) (capacity: 200 people)
